Answering Phone Calls

                phone vector image            Direct library patrons to use the public phone which is in between the stairwell and bulletin board on the north side of the main hall. Press "9" for an outside extension from this phone. For campus phone numbers (978-prefix) use the last four digits to dial the extension. No long distance numbers can be dialed. 

Please answer the Reference Desk phone when the librarian is away or engaged with a customer. Our location and a welcoming statement should be included in your greeting, i.e. "Wichita State University Libraries Reference Desk. How may I help you?" or "Hello, this is the Reference Desk at the Wichita State library. May I help you?" Say something you are comfortable with and practice your greeting. 

Other etiquette protocols:

  • Answer within three rings
  • Speak clearly
  • Be prepared to write a message to give to the librarian
  • Do not leave a caller on hold for more than 60 seconds
  • If a caller has been on hold for a while be sure to take a message so a librarian can call back
  • Let the caller know when someone is likely to get back with them

When taking a  message:

  1. Write the date and time (especially when a librarian is not on duty)
  2. Write caller's name (It's ok to spell phonetically)
  3. Write callback number clearly
  4. Repeat the phone number as you write
  5. Write purpose of their call
  6. Repeat the message or your summary as you write so the caller can make corrections and clarifications
  7. Write your name
  8. Leave the note next to the phone or hand it to someone who will get back with them

Make sure the phone number is legible.

Notice that extension 3584 has three phone lines identified as a, b and c. Open each line by pressing the button next to it. When you open a line, wait for the dial tone before dialing a phone number.

This also means we can receive and manage up to three phone calls at once. When we have multiple phone calls, it is important to notice which line is ringing when you answer a new call. NOTE: Extension 5106 is available for when all three lines are busy and you need to make a call.

To put a call on hold while on an active line:

  1. Press the HOLD button
  2. Hang up

To pick up a call that was placed on HOLD

  1. Pick up handset
  2. Press the phone line (line a, b, or c) to speak to the caller

To transfer a call while on an active line:

  1. Press the TRANSFER button
  2. Dial the extension
  3. At this point you may speak to the person who answers the extension to explain the call
  4. Press TRANSFER button again
  5. Hang up
